What is online accounting?
Online accounting is the practice of recording, classifying, and summarising a business's financial transactions using cloud-based software. The output is a set of financial statements - the Profit & Loss statement, the Balance Sheet, and the Cash Flow Statement - that show exactly where the business stands financially.
At Bizeneed, we use the double-entry bookkeeping system, which is the global accounting standard. Every debit has a corresponding credit. This means your ledger always balances, making it easy to spot errors, prepare tax returns, and satisfy auditors.
We support three leading accounting platforms: TallyPrime (the most widely used in India), QuickBooks Online (popular for international operations), and Xero (preferred by SaaS and startup founders). We also work in spreadsheets if you have not yet adopted dedicated software.
Cash basis vs accrual basis accounting
Most incorporated businesses must use accrual accounting. Here is how the two methods differ and when each applies.
Cash Basis Accounting
Record when money is received or paid
Accrual Accounting
Record when the transaction occurs (regardless of payment)
| Aspect | Cash Basis Accounting | Accrual Accounting |
|---|---|---|
| Recognition rule | Record when money is received or paid | Record when the transaction occurs (regardless of payment) |
| Revenue recognition | When payment is received | When goods/services are delivered |
| Expense recognition | When payment is made | When the expense is incurred |
| Accounts receivable | Not tracked | Tracked and reported |
| Accounts payable | Not tracked | Tracked and reported |
| Inventory | Not suitable | Required for inventory-based businesses |
| Complexity | Simple | Moderate to complex |
| Applicability | Drawback: Small proprietorships, freelancers | Advantage: Companies, LLPs, GST-registered businesses |

Process
How our online accounting service works
We keep it simple: you share your source documents, we record, reconcile, and report.
Kick-off call & software setup
We understand your business, set up your chart of accounts in Tally/QuickBooks/Xero, and agree on a monthly document-sharing routine.
Document collection
You share bank statements, invoices, and receipts through a secure cloud folder. We also integrate with Tally and QuickBooks APIs where possible.
Data entry & classification
Our accountants record every transaction using the double-entry system, assigning each to the correct ledger and cost centre.
Bank & GST reconciliation
We reconcile your bank statements against the ledger entries and match GST returns with accounting records to catch mismatches early.
Financial statements & review
We prepare the P&L, Balance Sheet, and Cash Flow Statement. A CA reviews them before delivery. You receive everything within 24 hours.
Your accountant needs access to your bank feeds or statements and invoices. The more structured your source documents, the faster we turn around. We can also digitise physical receipts - just scan and upload.
Timeline
How long does monthly accounting take?
From receiving your documents to delivering the financial statements - typically 24 hours.
| Stage | Duration |
|---|---|
| Document receipt | Ongoing (shared via cloud folder) |
| Data entry & ledger posting | 2-6 hours |
| Bank reconciliation | 1-2 hours |
| GST reconciliation | 1-2 hours |
| CA review & report delivery | 2-4 hours |
We work on a monthly cycle. Documents shared by the 3rd of the month get reports delivered by the 5th. Later submissions are processed within 24 hours of receipt.

Cash vs accrual: which method does your business need?
- Most companies MUST use accrual accounting. The Companies Act, 2013 and GST law require companies and LLPs to follow accrual accounting. Cash-basis accounting is only available to small proprietorships and professionals with turnover below ₹20 lakh.
- Cash basis is simpler but can mislead. Cash basis works for freelancers and very small businesses with no inventory. But it can hide real profitability - you may have billed a client ₹2 lakh but received only ₹20,000. Cash basis would show only ₹20,000 in revenue, understating your actual performance.
- Accrual matching gives you real margins. Accrual accounting matches revenue with the expenses incurred to earn it. So if you delivered a project in March but the client pays in April, the revenue is recorded in March. This is what investors, banks, and tax authorities expect.
Common failure points
Common accounting mistakes businesses make
Mixing personal and business expenses
Even if you are a sole proprietor, keep separate bank accounts. Co-mingled accounts create a nightmare during tax audits.
Delaying bank reconciliation
Reconcile monthly, not quarterly. Unreconciled items compound and become harder to resolve.
Classifying transactions incorrectly
Misclassifying an expense as an asset (or vice versa) distorts both your P&L and balance sheet. Our CA team reviews classifications before finalising.
Skipping the GST reconciliation step
Accounting records and GST returns must match. Discrepancies trigger GSTN show-cause notices. We reconcile every month.
Not maintaining source documents
Every entry needs a trail - invoice, receipt, or bank statement. Without it, you cannot defend the entry in an audit.
Every mistake above has a fix - and most can be avoided by getting the details right the first time. Getting it right first is easier than fixing it later.

FAQ
Frequently asked questions
Our online accounting service includes: double-entry bookkeeping, bank reconciliation, GST reconciliation, preparation of Profit & Loss (P&L) statement, Balance Sheet, and Cash Flow Statement, and a CA review of monthly reports. We also assist with Tally/QuickBooks/Xero setup and can manage payroll and TDS returns as add-on services.
Our accounting plans start at ₹999/month (Starter plan for up to 50 transactions), ₹2,499/month (Growth plan for up to 200 transactions), and ₹4,999/month (Enterprise plan for unlimited transactions). One-time software setup costs ₹2,999. Prices are transparent with no hidden charges.
Double-entry bookkeeping is the global accounting standard where every financial transaction is recorded in at least two accounts - one debit and one credit - so the accounting equation (Assets = Liabilities + Equity) always balances. This system catches errors, enables accurate financial statements, and is required under the Companies Act, 2013 for companies and LLPs.
No. We support Tally, QuickBooks, Xero, and even spreadsheet-based systems. During the kick-off call, we assess your current setup and work with whatever software you are comfortable with. We can also help you migrate to a more robust platform if needed.
Bank reconciliation is the process of matching your accounting ledger entries against your bank statement to ensure every transaction is accounted for and no discrepancies exist. We do this every month as part of our accounting service, which helps catch missing entries, bank fees, and unauthorised transactions early.
GST reconciliation is the process of matching the sales and purchase figures in your accounting books against the figures filed in GSTR-1 and GSTR-3B. Mismatches can trigger show-cause notices from GSTN. We reconcile every month as part of our Growth and Enterprise plans.
We prepare three core financial statements: the Profit & Loss (P&L) statement showing revenue, expenses, and net profit; the Balance Sheet showing assets, liabilities, and equity at a point in time; and the Cash Flow Statement showing cash movement from operations, investments, and financing.
Cash-basis accounting records transactions only when money is received or paid. Accrual-basis accounting records transactions when they occur, regardless of payment timing. Companies and LLPs must use accrual accounting under the Companies Act, 2013. Cash basis is only available to small proprietors below the GST threshold.
Statutory audit is mandatory for companies and LLPs under Section 139 of the Companies Act, 2013. For companies, it is mandatory regardless of turnover. For LLPs, it is mandatory if turnover exceeds ₹40 lakh or contribution exceeds ₹25 lakh. We coordinate with our network of CAs for audit support.
Yes, though we recommend it at the start of a financial year to avoid partial-year data migration issues. We handle the migration - importing your chart of accounts, opening balances, and transaction history into the new software. A one-time data migration fee may apply depending on complexity.
We offer catch-up bookkeeping as an add-on. We go back through your unrecorded transactions, post them to the correct periods, and reconcile. Pricing is 30% above the regular plan rate for the catch-up months. This is commonly needed after a new business starts or after a change in accountant.
Your documents are shared through our portal over an encrypted (HTTPS) connection, with role-based access so only the staff working on your account can see them, and audit logs of significant actions. The safeguards we use are listed in the Data Security section of our Privacy Policy.
The accounting equation is: Assets = Liabilities + Equity. It is the foundation of double-entry bookkeeping and must always balance. Every transaction affects at least two accounts in a way that keeps this equation equal. This is why the trial balance is a key step in the accounting cycle.
Yes, payroll processing and TDS return filing are available as add-on services. We calculate salary, deductions (PF, ESI, TDS), and prepare payslips. The add-on starts at ₹1,500/month depending on employee count.
A chart of accounts (CoA) is the complete list of accounts your business uses to classify financial transactions - including income, expense, asset, liability, and equity accounts. We set up a CoA tailored to your business type during onboarding, which ensures consistent classification and accurate reporting every month.
