What is payroll management?
Payroll management is the process of calculating and disbursing employee salaries, deducting statutory contributions (PF, ESI, TDS), and ensuring compliance with labour laws. It includes salary computation, attendance tracking, overtime calculation, bonus computation, leave encashment, PF/ESI contribution calculation, TDS deduction, payslip generation, and statutory return filing.
Our payroll management service covers end-to-end salary processing from attendance to payslip. We compute gross and net salaries, deduct PF (12% of basic + DA), ESI (if applicable), professional tax (if applicable), and TDS as per income tax slabs. We file monthly PF/ESI returns, issue Form 16 annually, and maintain complete payroll records for compliance.
At Bizeneed, we have processed payroll for 2,000+ employees across businesses since 2019. Our CA-supervised team ensures statutory compliance with the Employees Provident Funds Act, Employees State Insurance Act, and Income Tax Act. You get accurate payroll, on-time salary processing, and zero compliance worries.

How payroll management works
Our 5-step monthly payroll cycle ensures accurate and compliant salary processing:
Data collection
We collect attendance records, leave records, overtime data, and any salary changes for the month from your HR team.
Our team
Salary computation
We compute gross salary, apply statutory deductions (PF, ESI, PT, TDS), calculate net pay, and process any arrears or bonus payments.
Payroll team + CA
Salary disbursement
We provide the salary register and bank transfer file. Salary is credited to employee bank accounts by the agreed date (typically 25th of month).
Our team
Payslip and Form 16
We generate individual payslips for each employee and issue Form 16 annually for income tax purposes.
Payroll team
Statutory filings
We file monthly PF, ESI, and TDS returns, and ensure all statutory challans are paid before due dates.
CA + payroll team
You can process payroll yourself using Excel or payroll software. But payroll involves complex statutory calculations - PF on certain allowances, ESI wage ceiling, professional tax slabs by state, and TDS projections under the new tax regime. A single error in TDS calculation can result in a tax department notice. Our service costs from Rs. 999/employee/month and ensures zero-compliance-risk payroll.
Typical monthly payroll timeline
Our payroll cycle runs from the 25th of each month:
| Stage | Duration |
|---|---|
| Attendance collection | 1st-2nd |
| Salary computation | 3rd-5th |
| CA review | 5th-7th |
| Salary disbursement | By 25th |
| Statutory filing | Monthly |

Common payroll mistakes
Incorrect PF calculation
PF is calculated on basic + DA only, capped at Rs. 15,000 per month. Common errors include including allowances in PF calculation or not capping at Rs. 15,000.
Missing TDS on reimbursements
Reimbursements for expenses without bills are taxable. Ensure proper bills are collected for all reimbursements to avoid TDS implications.
Not updating TDS projections
TDS should be projected monthly to avoid large dues at year-end. Use the new or old tax regime correctly for each employee.
Late PF/ESI filing
PF and ESI returns have strict due dates. Late filing attracts penalties under the EPF Act and ESI Act. We file all returns before the due date.
Incorrect professional tax
Professional Tax slabs vary by state. Apply the correct PT rate based on your state of operation and employee salary level.
Not issuing Form 16
Form 16 is mandatory for all employees with TDS deducted. Issue Form 16 by 15th June each year for the previous financial year.
Every rejection above has a fix - most come down to how the innovation note is written, not the business itself. Most applicants don't know that until after the rejection.

Frequently asked questions
End-to-end salary processing: attendance and leave computation, gross-to-net salary calculation, PF/ESI/professional tax deductions, TDS on salary, payslip generation, statutory return filing, and annual Form 16 issuance.
PF registration and contribution is mandatory under the EPF Act, 1952 once you have 20 or more employees. Below that, PF is optional but can be voluntarily opted into. Once registered, PF stays mandatory even if headcount later drops below 20.
ESI is mandatory for employees earning up to ₹21,000 per month, in establishments with 10 or more employees (20 in some states). It provides medical and cash benefits funded jointly by employer and employee contributions.
Employers estimate each employee's annual taxable income (after declared exemptions and deductions) and deduct TDS monthly as per applicable slab rates under the old or new tax regime, whichever the employee opts for. Form 16 is issued annually summarising the full year's TDS.
12% of basic salary + dearness allowance from the employee, matched by 12% from the employer (of which 8.33% goes to the Employee Pension Scheme, subject to a wage ceiling of ₹15,000/month for the employer's contribution).
No. Professional Tax is a state-level levy and rates, slabs, and applicability vary by state - for example Karnataka, Maharashtra, and West Bengal levy it, while several other states do not. We apply the correct rate based on where your employees are based.
Late PF filing attracts interest at 12% per annum plus a penalty under the EPF Act; late ESI filing attracts interest and penalty under the ESI Act. Both are avoidable with correctly scheduled monthly compliance, which we handle before every due date.
By 15 June following the end of the financial year for all employees from whom TDS was deducted. It's a legal requirement, not optional, and employees need it to file their own income tax returns.
Yes. Multi-state payroll needs state-specific Professional Tax, labour welfare fund, and shops & establishment compliance handled correctly for each location - included in our Enterprise plan.
Bonuses and salary arrears are added to the employee's taxable income in the year received and taxed at applicable slab rates, though relief under Section 89(1) may reduce the tax impact of arrears relating to earlier years - we account for this during computation.
Without proof, the employer cannot allow the claimed deduction and must deduct TDS as if the exemption wasn't claimed, which the employee later reclaims via their own ITR. We send proactive reminders to employees before the proof-submission deadline to avoid this.
Reimbursements against actual bills for business expenses are generally not taxable. Without proper bills, they're treated as taxable perquisites or added to salary, attracting TDS - a frequent oversight we specifically check for.
